How to Plan Tasks on the Schedule Board

1. Planning from the Issue Box

The Issue Box contains tasks that you have planned for your project in Jira Board, including the Jira backlog.

To assign and plan a task for a member: Open the Issues Box, apply the basic filter or JQL to locate the issue, then drag and drop it onto the member's calendar.

If you want to change the assignee of an existing task, simply drag the task card and drop it onto another member’s calendar.

TIPS: You can search by -t and planned status to ensure that the project is progressing according to schedule and meeting its objectives

2. Planning with the “New Plan” button

Click on the "New Plan" button to activate the Planning Dialog.

Within this dialog, you can search for existing Issues or create new Issues to schedule on the board. Ensure you adjust the Assignee, Capacity, and Start/End date for the task to tailor it to your project's needs and resources accurately.

3. Planning directly on a Specific Date or Range of Dates:

For a more direct task-planning approach, click on a date or select a range of dates on the calendar to open a dialog. Within this dialog, you have two options:

  1. Plan for an existing issue by entering the issue summary or issue key or selecting from issues recently viewed.

  2. Create a new issue, then add this issue as a plan to the board.

3. Planning via Jira Issue Detail

Within a Jira issue, you can navigate to the right panel, click 'Open TeamBoard ProScheduler', then click 'Add Plan'.

Choose the date and scheduled hours for this issue, and then click the 'Plan' button. After clicking the 'Plan' button, the issue will automatically appear on the schedule board

Other Advanced Features

1. Adding notes to the plan

This feature allows users to add detailed notes directly to their plans.

This functionality facilitates better documentation and communication within teams, providing a seamless way to include important annotations, reminders, or instructions alongside plan items.

  • Users within the resource will have the right to create notes and view notes created by everyone.

  • Users will only have the right to edit or delete their notes

2. Planning History - Changes Log

Keeps a detailed record of all changes made to the project schedule

Throughout the project, many adjustments are made to task deadlines. The Planning History logs who made each change and when allowing for easy tracking and analysis of how changes impact the project timeline.

3. Automated Task Planning based on Original Estimate

With this update, you can automatically plan tasks using Jira’s Original Estimate. Just set the task’s start and end dates along with the original estimate, and TeamBoard will divide the estimated hours across the duration, simplifying project planning.

Important Note: This feature is available only for date-mapping projects.

Here’s how to get started:

Step 1:

Go to General Settings → enable “Plan with original estimation field” under Estimation fields.

Step 2:

After that, let's create an Issue → input the start date, end date, and original estimate → then assign it to an assignee to sync with TeamBoard ProScheduler.

Step 3: Once the task is scheduled, you can adjust start and end dates by dragging the task card in TeamBoard ProScheduler. The daily task duration will automatically adapt to maintain the original estimate.
