Updating Plans

For the existing plans scheduled on the TeamBoard board, you can:

Accessing to the Planning Details

You will have two options to open the Planning Details on the schedule board:

OPTION 1

Right-click on an existing task and choose “Planning Detail” → the Planning detail will appear in the right panel

OPTION 2

Click directly on a specific Task Card to open the Planning Detail in the right panel.

1. Updating a General Plan

The GENERAL tab lets you view and update the general of a specific task in TeamBoard, including Jira issue information like duration, planned time, status, and more.

Click on the issue key to open the Jira issue detail view.

Showcase the start dates and end dates of the task.

(4) Planning Detail

  • Original Estimate (Jira): Initial time estimate from Jira.

  • Planned Time: Total planned hours for the task.

  • Unplanned Time: is the extra time spent on a task beyond the Original est plan.

Unplanned Time = Original Est − Planned Time

  • Logged Time: Total hours already logged on this task.

  • Remaining est: Refers to the estimated time still needed to complete a task.

Remaining Est = Planned time - Logged time

  • Color: Indicates the task color.

(5) Issue Detail (Jira)

  • Assignee: Shows the team member assigned to this task.

→ To update another assignee, please access the Plan Details tab.

  • Story Point: Represents the complexity of the task

  • Label: Additional tagging or categorization of the task.

2. Updating the Plan Details

The Plan details allows you to customize key scheduling aspects of each plan, including reassigning or adding multiple resources, adding additional plans, updating work duration, and setting recurring tasks.

  1. Add more plans: Click on the + New Plan buttonScreenshot 2024-10-22 at 16.58.21.png to create more new plans for the task.

  1. Reassign a plan to another member:
    From the Assignee section, use the dropdown to change another resource.

  1. Update the work schedule:

  • Hour/day: To update the hours planned for the task per day.

  • Duration: Directly clicking to define the start and end dates for the task.

  1. Update the Task color:

To update the color, simply click on the color code and select a new color.

  1. Set up recurring tasks for ongoing activities that repeat over time such as daily, weekly, bi-weekly, or monthly.

3. Adding notes to the plan

The Notes tab allows users to add detailed notes directly to their plans.

This functionality facilitates better documentation and communication within teams, providing a seamless way to include important annotations, reminders, or instructions alongside plan items.

  • Users within the resource will have the right to create notes and view notes created by everyone.

  • Users will only have the right to edit or delete their notes

To add notes, click on the Task card to open the Planning Details in the right panel → Navigate to the Notes tab and click the Screenshot 2025-01-08 at 14.21.49.png button to add your note.

4. Planning History - Changes Log

Keeps a detailed record of all changes made to the project schedule

Throughout the project, many adjustments are made to task deadlines. The Planning History logs who made each change and when allowing for easy tracking and analysis of how changes impact the project timeline.

To access Planning History, click on the Task card to open the Planning Details in the right panel → Go to the History tab.

5. Bulk Task Editing

Bulk editing does not apply to Recurring Tasks or Jira Field Mapping projects.

Bulk action on the Schedule board allows users to make changes to multiple tasks at once.

Users can select multiple tasks by checking the box on each task card → When tasks are selected, a bulk action toolbar appears on the board. (The toolbar can be flexibly moved to different positions on the board.)

From here, users can update:

Change the task card color

Assign tasks for additional members.

Unplan tasks.
