1. Installation & Navigation

 Step 1: How to Install the App (Cloud)

OPTION 1 Directly install via this link: TeamBoard TimePlanner in the Atlassian marketplace > Select your Jira site > Click on Try it free and explore the app now!

OPTION 2

  1. Log in to your Jira instances as an admin

  2. From the top navigation bar, choose Apps > Explore more apps.

  3. Search for TeamBoard TimePlanner

  4. Click on Try it free > then select Start free trial, you're all set now!

 Step 2: How to Access TeamBoard TimePlanner in Jira

After installing TeamBoard TimePlanner, you can access the app via the Jira menu by selecting Apps > TeamBoard TimePlanner.

Next Step: Set up User Roles and Permissions to ensure each team member has the appropriate access level and functionality within the app.

2. Setup User Roles & Permissions

 Step 3: Define User Roles

ADMINS

  1. App Admin: Full access to all features and configurations within the app. By default, users who are in the jira-admin or org-admin group are automatically granted App Admin permission.

  2. Team Admin: Manages team-specific activities like team creation, resource planning, work logs, and team member configurations.

  3. Client Admin: Manages client portfolios and links clients to tasks.

  4. Billing / Cost Admin: Handles financial configurations, such as billing rates and cost management.

APPROVERS

  1. Leave Approver: Have the authority to approve or reject leave requests submitted by team members.

  2. Timesheet Approver: Have permission to approve or reject timesheets submitted by team members.

TEAM MEMBERS

Users assigned to viewer roles (e.g., Timesheet Viewer, Scheduler Viewer) can view or edit their own data but do not have permission to view or make changes to others.

For more detailed information on granting specific permissions to users, please refer to the Permission Settings guide.

 Step 4: Access & Configure Permissions

To configure app permissions and assign these roles:

  • Navigate to Settings > Permission in TeamBoard TimePlanner.

  • Define the specific permissions for each role according to your organizational needs.

3. Initial Configuration & Settings

 Step 1: Configure Working Capacity

Set up the working capacity for your team members, which defines the number of hours or days they are available to work.

To access capacity scheme settings go to SettingsWorking capacity

 Step 2: Set Up Holiday Calendar

Create and manage a holiday scheme that reflects your organization's official holidays. This allows you to account for non-working days in resource planning.

To access holiday scheme settings go to SettingsHoliday Calendar

 Step 3: Configure Leave Types & Allocation

Define different types of leaves (e.g., vacation, sick leave, parental leave) and allocate them to team members.

To access capacity scheme settings go to SettingsLeaves

Note: If your organization doesn't require the Leave Approval Workflow, you can disable this feature by clicking the corresponding button and proceed to the next step.

 Step 4: Configure Rates & Allocation

Set up billing rates and cost configurations for different resources or projects. This is essential for accurate cost management and financial reporting within your projects.

To access these settings, go to Settings → Rate and Cost.

Note: If you do not require the Cost Tracking or Billable Hour Tracking feature, you may skip this step.

 Step 5: Create Field Data

Field data refers to the customizable attributes created by Admins, which are applied to employee profiles. These attributes can include categories like Departments, Positions, Skills, and Currencies.

To access these settings, go to Settings → Field Data

 Step 6: Map Jira Date Field

Map the Start Date and End Date fields in TeamBoard TimePlanner to corresponding Jira fields.

Note that when mapping date fields to Jira, the app adheres to Jira’s specifications, which may limit certain advanced features like scheduling tasks multiple times or assigning one task to multiple users.

If your team normally schedules one task to multiple resources, you may skip to the next step.
